Most UK agencies make you sit through a call before they will say a number. Here it is: projects start at £3,000, ongoing support starts at £750 a month. Below is what moves that figure, so you can work out roughly where you would land before you speak to anyone.

The factors that affect our pricing

Everything else is detail. If you can answer these five, you can place yourself in the range yourself.

How many workflows

Automating one job — say, producing a fee proposal — sits at the bottom of the range. Quoting and enquiry tracking and document generation is three pieces of work, and prices like it. The cheapest way to start is to pick the one that hurts most.

How many systems it talks to

A tool that stands on its own is straightforward. One that reads and writes to your CRM, your accounting system and your document storage has to handle each of them — and how cleanly they let us in varies a great deal between vendors.

Who uses it, and how differently

One team doing one job is simple. Estimators, directors and administrators each needing their own view, their own permissions and their own approval step is more work — not because of the number of people, but because of the number of rules.

Whether history comes with it

Starting fresh costs nothing extra. Bringing ten years of past quotes out of spreadsheets — with the inconsistencies that have crept in over that time — is its own piece of work, and worth deciding on deliberately rather than by default.

How settled the process already is

This is the one people underestimate. If your team already agrees on how the job is done, we can build it. If the process lives in one person's head and everyone does it slightly differently, some of the work is pinning that down first — which is valuable, but it is time.

"Free prototype" means exactly what it sounds like: we build a working version of your tool and show it to you running, using your real process. Not a slide deck, not a mock-up — something you can click. You see whether it would actually help before you commit a penny, and if the answer is no, you have lost nothing but the hour it took to talk it through.

Why is there no upper price on this page? +

Because an honest ceiling would depend on your scope, and a made-up one helps nobody. We publish where projects start and what moves the number, then quote a fixed price once we understand the work. You approve that figure before anything begins.

What would make it cost more? +

The five drivers above, in roughly that order. A single well-understood workflow with no integrations sits at the bottom of the range; several workflows, a handful of connected systems and a process that still needs pinning down sits well above it.

Do I own the software? +

Yes. You own what we build for you. There are no per-user licence fees and no lock-in — if you ever want to take it elsewhere, the code is yours.

What are the ongoing costs? +

Hosting is typically a small monthly cost that depends on the size of the tool, and we will tell you what it is before you commit. Support and future changes are covered by an optional retainer from £750 a month — not a requirement, and you can start one later.

What happens if the scope changes? +

We quote in stages rather than one big number, so a change is a conversation about the next stage instead of a renegotiation. Nothing gets built, and nothing gets billed, that you have not agreed to first.

Do you charge for the first conversation? +

No. The first call is free and there is no obligation. If we do not think custom software is the right answer for you, we will say so — it is a small industry and a bad fit helps neither of us.
